Convenient steps to connect Internet Email account with Outlook 2013

To send an email, it is necessary for both (receiver and sender) to be active on internet. Sometimes user faces situations like un-availability of internet, problems while account log-in, compatibility issues with the system and many more similar issues. These situations not only slow down the conversation but also work as a blockade in daily email account activities. Microsoft sort-out these dilemmas by providing an alternate option for Internet Email account users. Now, they can use their Outlook account to send and receive messages even when there is no internet connectivity.
 
A question might be arising in your mind! How can this be possible? This is possible if user follow few simple steps to configure their Outlook2013 account with their Internet Mail account. I am providing step by step guide for setting up the internet email account with Outlook 2013 account. There are four different ways to set up account.

1: Automatic Internet Mail Account Setting

NOTE: User must have their email address and password provided by their Internet Service Provider

  • A Launch Outlook2013 application and move cursor towards File Menu
  • After clicking on File tab select category Info.
  • Now, select the Account Settings from the drop down list.
  • In the Account Settings dialogue box, select Email tab and Email Account page appears
  • Now, choose icon named as New to add new account. A dialogue box will appear on the screen named as ‘Add New Account’

  • To set email account automatically, enter the following necessary credentials under Auto Account Setup i.e.: User Name, email address and password.
    Caution: Be sure about user’s credentials, as user email won’t work if credentials are not correct

   Proceed by clicking on NEXT button to set Account in the Auto Account Setup process.
  • Now Test Account Settings screen will show that process has been completed successfully.


    NOTE: Outlook can automatically fill all the necessary credentials of user required in ‘Account Set UP’   form. For this, user has to enable the check box titled as: "Save this password”

         Complete the Automatic Account Setup process by clicking on Finish button and after that click on close button to complete the Account Setup process


    Info: In case the above described steps do not work then user can go for “Auto Account Setup” feature. By using this feature, user can connect their account by using unencrypted connection. May be there are chances of failure of this method, in that case, user has to follow manual set up to configure account.
    Here are the steps for manual settings of Internet email account

    Manual Account Set up Procedure:

    • To initiate the process, user must aware of their email address, password, incoming mail server name, and outgoing mail server name
    •  Repeat the steps mentioned in above procedure till Add New Account dialog box appear:
    • Now enable the checkbox entitle as “Manual setup or additional server types” and proceed. Also select: POP or IMAP radio button.
    •   Complete the form by entering required credentials:   
    1. Under User Information: Enter user Name and email address.                       
    2.  Incoming mail server info: Name of the server in lowercase letters. User can enter server name in form of mails address or IP address e.g. "mail.xyz.com." 172.15.1.2.
    3. Under Server Information:  Select Account Type box. For POP3 or IMAP account              fill the following information:   
    4.  Outgoing mail server info: Same as Incoming mail server info            
    •  Log-on Information
    1.   User Name filled as User’s email address.  User Password or user can select the check box entitle as “Remember password”
    2.  In case if your ISP demands then  Select the logon entitle as “Secure Password Authentication” (SPA)

    • Complete the “Test Account Settings”  by fulfilling under mentioned process :
    1. User is logged on to the SMTP server as well as POP3 server.
    2. Internet connectivity of system is assured
    3.  If user’s POP3 server is logged in then Outlook automatically sets the login credentials for incoming mail server before sending the mail.
    4. Now, a  test message is sent that explains all the changes(if any)  done by Outlook






    • Finish the process by clicking on NEXT.
    Settings for Internet Service Providers (Manual Outlook Configuration)

    As Server name and settings play a crucial role in setting of account. One mistake leads to improper working of email. So, it is advised to user to contact their ISP to get exact name as well as settings of their Incoming and Outgoing mail server name.

    Advance Server Settings
    Sometimes there comes a situation when user is needed to change their email account. To do so user has option for Advance Server Setup. Here is the process:


    •  In the Internet E-mail Settings dialogue box click on “More Settings” option.
    •   Select Advance Tab and set ports for POP3 and SMTP
    • Define the needs of server that may be Encrypted Channel, Server time out settings and its delivery settings.
     
    Info:  By doing settings of delivery, user will able to read message but there is a condition as this will leave the message on server for a specified time. User who is using same email account for more than one computer can adopt this option. Outlook automatically sets time range of 14 days before removal of message copies from the server. User can select the check box if they want to keep their server without message copies
    .
    User can choose above methods according to their convenience. Although above mentioned methods are quite easy to implement if still user faces problem in configuring account then user must contact Microsoft Support for solution.
     

Smart way to access windows Live Mail account using iPhone

In the present time, email is the best way of secure, easy and fastest electronic communication. If we consider in general, every time it is not possible for a user to carry laptop with him to send/receive emails or to perform other emailing operations. Thus, instead of that an easier and portable gadget is required. This is one of the reasons that gave rise to Mobile technology. Due to advanced and interactive features, the Smart phone market is on boom. Now a day’s smart phone become a need of every user whether a business owner, a job oriented person or a student.
              Smart phones have replaced the need of laptops as they are easy to port and equipped with various advance functionality and features. Most important among them is mail- synchronization feature. You can find various Smart phones based on operating systems like Android, I-phone, Blackberry etc. The most famous among users is iPhone.
             Sometimes user can has to face a situation when there is no web access and he needs to check his mailboxes. In such situation the mail synchronization feature proves to be helpful, that lets the user synchronize their desktop email application.   
            By synchronizing desktop mail application account with I-Phone, user can check their mails any time and can also perform other emailing operations. Here, I am taking Windows Live Mail application in to consideration as a desktop email application.
To co-ordinate your desktops email application with iPhone use following steps: 
  • Firstly unlock iPhone screen 
  •  Apply action on setting icon
  • In setting option there are sub icons containing Mail icon
  • Inside mail icon user will other options like contacts, calendars and many more
  • Proceed to "Add Account" section.
  • After clicking on "Add Account" section user will see a drop down containing list of all email carriers.
  • Select "Windows Live Hotmail" from the list of email carriers.
  • After selection Windows Live Mail will demand for user email address and Password.
  • Fill all the credentials carefully and save them for future use.
  • Tap on "Next" button to complete the process
  • Now, user is logged in to their Windows Live account
  • Now, user will select the items (email address. Contacts etc) from their Windows Live account to synchronize with their  iPhone 
  •  Items have been selected. Now, Tap on “Save” button to save the changes
  • Refresh screen of I phone to see the changes
  • Now, Tap on Mail icon and log in to your Windows Live email account. User is able to send and receive email from Windows Live Mail account using their smart phone.
Congratulations!! Windows Live Mail account has been synchronized successfully.

Here, comes a question in your mind, What about Contact list? As contacts is most important part for every communication. Don’t worry! Users can also move them. Following are the steps to perform such operation:

Steps to Move Contacts from Windows Live Mail to iPhone
  • Open iPhone home screen and Tap on "Settings"
  • In setting option select "Mail, Contacts, and Calendars."
  • Move to "Add Account." and Select the option "Microsoft Exchange."
  • Enter all log in information to open the Windows Live Mail account.
  • Now, enter the name of the server "m.hotmail.com" in the text box "Server"
  • Enter "m.hotmail.com" in the "Server" field and then tap "Next."
  • Now, Swipe the slider named as “Contacts” to “ON” position and "Save” the changes.
  • After doing this synchronization process Start. Wait till synchronization complete.

ΓΌ     INFO: User will also have option to synchronize the calendars with iPhone. They have to follow the same process the only difference lies between slider names. Users have to choose appropriate slider to perform operation.

After performing above operations, now user can enjoy their emailing without any issue.

Why to Rebuild Mac Outlook2011 database?

Entourage email application uses single identity folder to store .rge file format. This is a drawback of Entourage email application because sometimes there may be a situation when user’s .rge file got corrupt and due to that user has to lose their all valuable data.

Microsoft sort out this problem by launching Outlook for Mac users. Mac Outlook was introduced with feature of storing data in to separate files instead of saving data in to a single file. Additionally Outlook has stronger database as compared to Entourage. Every email application has its own pros and cons. Every Outlook users face few common problems when they logged into their Outlook account. The only solution to troubleshoot these problems is rebuilding of database. In this post I will share all steps for rebuilding of database.   

Situations that leads to creation of new database


  • Unexpected shut down of system.
  • Unexpected behavior of Outlook like selected items would not open.
  • Outlook contacts information is not visible to user. When user will open their contact list of outlook it will display a blank line.
  • Outlook creates problem in contact display.
  • Added information is missing in Outlook calendar, events or contacts
  • Outlook search option will not work properly. As user enters something for search it does not display the same result.
  • Outlook starts displaying a blank Office Reminders window.
  • Outlook will no more display the clippings in Scrapbook
 Steps to rebuild identity database

  1. In first step quit all applications.
  2. Now, find out the free space available on the hard disk. Use following steps to identify the free space on hard disk.  
  • In the Finder section select ‘Home’ option.
  • Now, Open the Documents folder and after that Microsoft User Data folder.
  • Now, Open the Identities folder of Office 2011 and do click on that.
  • On the File menu, Move to Get Info section categorized with File section and select Get Information.
  • User will easily get size of the database used as well as free space on disk.

  3. After getting the disk size, first discover the current identity and take back up of current identity. Steps to take back up of current identity

  • In the Finder section select ‘Home’ option.
  • Now, Open the Documents folder and after that Microsoft User Data folder.
  • Now, open the office 2011 identities folder by doing right click on identity folder.
  • After doing right click select Duplicate option, by doing so a copy of identity folder is created
  • Now, quit all applications.

Taking back up is necessary because if user face any problem in creation of new database then there are chances of data loss. To avoid such unplanned conditions, there is need to create a backup copy of database. 

  4. To rebuild the database first of all quit all applications.
  • Start Outlook 2011 application by holding the Option key on the Keyboard.
           NOTE: There is one more option to open the Database utility.
  • Open the Application folder present in Database utility 
  • Start browsing for Database utility.
  • After browsing the Utility open the Microsoft Office 2011 folder
  • Now, open the “Microsoft Database Utility.app” present in the Office folder.

  • Open the Database utility window to select the database
  • After selection of database click on Rebuild
  • This will open the window named as “Rebuilding Main Identify”
  • After completion of process a user will receive a message "Your database was rebuilt successfully."


  




Start Outlook again to check whether problem is resolved or not. In case if still problem exist then follow the following steps



  • Click on Done.

5. To sort out the problem create New Identity. Steps to create New Identity

Outlook has capacity to store multiple identities at one time. May be in group of multiple identities, there is possibility for damaging of one of identity or may be more. To resolve this problem, there is need for creation of new identity.




  • Steps to create New Identity on Mac Outlook
  • Close all other application running on system.
  • Click the Outlook icon and it will open a “Microsoft Database Utility”
  • Now, Click on plus [+] to add a new identity 



  • Enter the name in the new identity section to save the identity
  • Identify the created Identity.
  • Now, set the newly created identity as default identity. To select default identity choose option “Set as Default”
  • Now restart the outlook to check whether problem is resolved or not.

Common Apple Mail Issues

As I have already introduced user with the Apple Mail and their extensive features in my previous post. We all are aware of fact that no email application is perfect. Same is also true for Apple Mail application. While working with Apple Mail, I have faced few issues that make me think for another option.  I Googled and installed Mac Outlook 2011 on my Mac system but before proceeding to Mac Outlook 2011. Let me discuss common Apple mail issues that every user face.

Issues with Apple Mail:

Internet Connection Problem:
Sometime user comes under a situation when there is slow internet connection due to reasons like hardware problem, weather problem etc. In such type of situations when user send emails using their Apple Mail account then they receive multiple copies of their same email. To resolve this problem, it is advised to use fast internet connections.

IMAP Account Problem: Sometimes incoming and outgoing server don’t accept password. In this case, user is not able to send and receive email and creates problem. This type of situation usually occurs when user is not able to upgrade their IMAP account. User can easily resolve this problem by having a backup of their password account.

Issue with Email Saving: According to email design structure when user sent email then it must be saved in their Sent item folder. But usually it does not happen with IMAP protocol. When user set their account to IMAP protocol then there is also need to set the folder settings to save emails. It is advised to choose folders carefully to save file.

Preview Mail Issue: While working with Apple Mail when user sends any file attachment then there is no option of having previews of file attachment. In fact user is not able to open file attachment before saving of emails. Moreover user is not being able to set their signature in HTML format. 

Above mentioned are the common issues with the Apple Mail. User can resolve these issues by applying few steps but if still problem persists then it’s good for user to switch to Mac Outlook. Let’s have a look on Mac Outlook 2011:
